An honest comparison. Including the cases where Stamhoofd is the better choice.
Two different centres of gravity
The honest version first: these are not copies of each other. Stamhoofd grew out of the Belgian youth movements and expanded from there towards sports clubs, choirs and schools. Its centre of gravity is the front end: registration forms, ticket sales with door scanning, seating plans, webshops and fundraising. The platform is open source and the code is on GitHub. Ledenboek was built in the Netherlands around the board work itself: member administration and bookkeeping in the same system, so an incoming payment attaches to a member straight away.
The overlap is member administration. That is why we end up side by side, and why this page exists.
The pricing model
Ledenboek
A fixed amount per year based on your member count, from €99 for up to 50 members. Everything is included: you pay for size, never for extra features. From 301 members it is €449 per year, also above 500. If you collect through our Mollie link, Ledenboek keeps 2% of the amount paid; if you submit the SEPA direct debit file to your own bank, we charge nothing per transaction. Your payment provider's transaction fees come on top, at Mollie €0.32 per iDEAL payment.
Stamhoofd
€1 per unique member per year for member administration. Webshops and ticket sales cost 2% capped at €0.20 per item and are counted separately. Free registrations carry no service fee. No setup costs. Here too, Stripe or Mollie transaction fees come on top.

In short: up to roughly 300 members Stamhoofd is cheaper for member administration, above that we are. That is because they charge per member and we charge per band. Just above a band boundary the gap is widest: an association of 55 members pays €179 with us and €55 with them.
With both, your payment provider's transaction fees come on top, and those are comparable. With Ledenboek you can avoid them by submitting the SEPA direct debit file to your own bank.
Based on Stamhoofd's public price list, checked on 4 August 2026. Their rates exclude VAT, which an association usually cannot reclaim; add 21% in that case. Above €500 in service fees you can ask them about a discount. Always check current prices with Stamhoofd themselves.
What Stamhoofd does not include
This is the heart of the difference, so we spell it out. Stamhoofd's site names one financial feature: "Export all payments (with transaction cost and payout date) to Excel for bookkeeping." That is an export. The processing you do yourself, in another program. What else is not listed:
- ✕ Bookkeeping. No general ledger, no journals, no profit and loss account. You post the export by hand into a bookkeeping package you take on separately.
- ✕ Bank reconciliation. No MT940 or CAMT. You cannot import statements, so incoming amounts get matched to the right member by hand.
- ✕ Invoicing. No per-member invoices and no payment reminders that go out on their own. Whoever has not paid, you track yourself.
- ✕ Direct debit through your own bank. Payments run through Stripe or Mollie, with a transaction fee each time. A SEPA direct debit file you submit to your own bank, which avoids those fees, is not listed.
- ✕ Expense claims. Receipts from volunteers and board members, and approving them, you arrange outside the system.
- ✕ Audit committee and discharge. Reviewing the books and signing off on them happen by email or on paper.
- ✕ Budget, annual figures and forecast. The documents for the general meeting you make yourself, usually in a spreadsheet.
- ✕ Meetings, documents and voting. Agendas, minutes and decision-making are not part of it.
This is what Stamhoofd's site describes on 4 August 2026, checked on their features, member administration and pricing pages. If you see something that is there by now, email us and we will update this page. That has happened before, after a fair correction from ClubCollect.
What that costs you extra
An association that also wants to do its bookkeeping adds a bookkeeping package alongside. Below we use the cheapest one we could find for associations. Choose Moneybird, Jortt or a package through your accountant and the amount goes up.

Calculated with €115 per year for a bookkeeping package: the Boekhouden package for associations from e-Boekhouden.nl, regular price €9.50 per month, checked on 4 August 2026. That is the bottom of the market. Moneybird Start is €15 per month excluding VAT, or €218 per year including. Use that instead and the gap widens.
What this table does not show is the time. Two systems side by side means an incoming payment does not attach itself to a member: you retype it, or you look it up. That is exactly the work treasurers give up on.

Support and your data
Two things you should be able to count on with software for your association: that someone answers when you get stuck, and that your member records stay where they belong.
If you have a question
- ✓ You email and a human replies, within one business day
- ✓ The person who replies built it. Report a bug and it's sometimes fixed the same day
- ✓ No bot that replies automatically. What you read back was written by a human
- ✓ No queue, no ticket number, no chatbot that asks five questions first
- ✓ Helping you think through how to set things up is part of the service and costs nothing extra
You can call on Monday to Friday between 09:00 and 17:00, on +31 84 833 2125. No queue and no menu; you get the person who built it. If we are on another call, leave a message and you will hear back the same working day. Outside office hours and during holidays there is no cover, so then it goes by email.
Where your data lives
- ✓ Everything within the EU. The servers are at Hetzner in Germany
- ✓ Every party that does something for us is also in the EU, in the Netherlands, Germany or Ireland. No transfers beyond it
- ✓ Member records are never sold, rented out or used to offer your members anything
- ✓ Membership fees go directly to the association's bank account, not through us
- ✓ You can export your full member records yourself at any time
The data processing agreement is available online, naming all six parties and where they are based. An association ought to have one; you shouldn't have to ask for it.
When Stamhoofd is the better choice
There are associations for which we are not the best answer. We would rather write that here than have you find out after three months:
- → You have fewer than about 300 members and you only need member administration. Then they stay cheaper, and that will not change.
- → You sell tickets to non-members and want to scan them at the door, or let visitors pick a seat. Ledenboek does not have that; scanning a member's card does work.
- → You are based in Belgium. Bancontact, tax certificates and medical forms for camps are built around that practice; Ledenboek is built around the Dutch one.
- → Open source is a hard requirement for you, because you want to inspect the code or host it yourself. Ledenboek is not open source.
- → Your bookkeeping is already well arranged elsewhere and you do not want to change it. Then you would be paying us for something you do not use.
If one of these points is decisive for you, you are better off with them. We are the better choice when the board work itself is what costs you time: the membership fees, the invoices, the bank, the audit committee and the annual figures.
